How Voly handles your information

Voly is a transaction workspace operated by Venturi3. This Privacy Policy explains what we collect, why we use it, and what happens when you connect an email, calendar, or other service to Voly.

Information you provide

We receive the information you use to create and manage your account, including your email address, profile details, workspace membership, and security records. We also store the records you choose to keep in Voly, such as contacts, properties, deals, tasks, documents, agreements, notes, financial details, and links between those records.

Connected services

When you connect Gmail, Google Calendar, Outlook, or Microsoft Calendar, you choose the provider and the categories to import. Voly uses the provider's authorization flow; Voly does not receive or store your provider password.

For Gmail and Google Calendar, the current integration reads the account identity needed to identify the connection, recent email metadata and previews, and calendar event information such as title, description, organizer, attendees, start and end time, and the provider link. For Outlook and Microsoft Calendar, the current integration reads the corresponding message and event metadata, previews, senders, recipients, organizers, attendees, times, and provider links. Voly uses this information to show communication history, calendar activity, and links to Contacts, Deals, and Properties in your workspace.

If you turn on appointment editing for Outlook or Microsoft Calendar, Voly also creates and updates appointments in that calendar when you save them in Voly. Voly does not send, change, or delete email.

Voly matches imported email and calendar activity to your contacts by email address. An item is linked to a contact when that contact's email address appears as its sender, recipient, organizer, or attendee.

Our use of Google user data

Voly's use of Google user data is limited to providing the email and calendar features you request. We use Google data to authenticate the connected account, import bounded email and calendar activity, display that activity in Voly, match it to your contacts by email address, link it to the workspace records you choose, and refresh the connection when needed.

We do not sell Google user data, use it for advertising, or use it to determine a person's eligibility for credit, insurance, employment, housing, or similar decisions. We do not transfer Google user data to third parties except service providers operating Voly at your direction, or when required by law. Our handling of Google user data follows the Google API Services User Data Policy, including its Limited Use requirements.

How we protect information

We use access controls, encrypted connections, tenant-scoped database queries, audit records, and encrypted storage for provider refresh tokens. Imported communication data remains associated with the workspace and account that authorized it. No security measure can eliminate every risk, so protect your account credentials and tell your workspace administrator about suspected unauthorized access.

Sharing and service providers

We share information only to operate Voly, carry out an action you request, comply with law, protect the service, or protect the rights and safety of users. Hosting and infrastructure providers process information on our behalf. We do not sell your workspace records or use them for third-party advertising.

Retention and your choices

Imported email and calendar activity that does not match one of your contacts, and is not linked to another record, is removed 30 days after it is imported.

You can disconnect a connected provider from Voly. Disconnecting stops future access to that provider and removes the unmatched activity it imported. When you disconnect, you can also choose to remove everything imported from that account, including activity already on your contacts. Otherwise, activity already on your records remains until you or an authorized workspace administrator removes it. You can request account or data deletion through the Venturi3 administrator or support channel provided with your workspace. We may retain limited records when needed for security, legal compliance, dispute resolution, or reliable operation.

Children and changes

Voly is a professional service and is not directed to children. We may update this Policy when the service or our data practices change. We will update the effective date and provide notice where required.
